Who we are

What we collect
We collect personal data in three ways, all of them visible:
Housing requests. When you request crew housing we collect your name, company, work email, phone number, and the details of your request (headcount, location, dates, duration, crew type, budget, billing preference, and any notes you add).
Property submissions. When you list a property we collect your name, email, phone number, the property’s location and details (type, beds, availability), and any notes you add.
Technical data. Our anti-spam protection processes your IP address and a short-lived signed timestamp when you submit a form, and our hosting infrastructure keeps standard server logs. This site sets no cookies and runs no analytics or tracking of any kind.

Why we process it, and the legal basis
To respond to your request or submission means matching crews with housing, calling you back, and preparing an agreement. Legal basis: steps taken at your request prior to entering a contract (Article 6(1)(b) GDPR) where you would be party to that contract yourself; where you contact us on behalf of a company, our legitimate interest in responding to and administering business enquiries (Article 6(1)(f) GDPR).
To keep the site usable and secure means rate limiting and bot filtering using your IP address and a signed timestamp, plus standard server logs kept to secure and operate the site. Legal basis: our legitimate interest in protecting the service from abuse and keeping it secure (Article 6(1)(f) GDPR).
To contact you about your enquiry means the confirmation email and follow-up about the specific request or property you submitted, on the same legal bases as responding to it. We do not send marketing to you without your consent, and we do not sell your information.
You are never obliged to provide any of this information, and providing it is not a statutory or contractual requirement. Without your contact details and the substance of your request, though, we cannot respond to it or arrange housing.

Who receives your data
Form submissions are delivered to our coordination team by email through Resend Inc., our email delivery processor, and our website is operated on the infrastructure of our hosting provider [HOSTING PROVIDER]. Both act as processors under written terms. Where a booking proceeds, the details needed to arrange the stay are shared with the relevant property owner or housing client. That is the service.
We do not sell or rent personal data to anyone.

International transfers
Our email processor is established in the United States, and our hosting provider [HOSTING PROVIDER] may also process data outside the European Economic Area. Where personal data is transferred outside the EEA, we rely on an adequacy decision (including the EU–US Data Privacy Framework where the recipient is certified) or the European Commission’s Standard Contractual Clauses. You can request a copy of the relevant safeguards by emailing us at the address in section 01.

How long we keep it
Enquiries and submissions that do not lead to an agreement are kept for up to 24 months after our last contact with you, so we can handle follow-up and repeat enquiries about the same crews and properties, and then deleted. Where an agreement follows, the related records are kept for the duration of the relationship and thereafter as long as Irish law requires (typically 6 years for contractual and tax records). Anti-spam tokens expire within 24 hours; server logs are retained for [LOG RETENTION PERIOD, e.g. 30 days] and then deleted.

Your rights
Under the GDPR and the Irish Data Protection Act 2018 you have the right to access your personal data, to have it corrected or erased, to restrict or object to its processing, and to receive it in a portable format. Where processing is based on consent, you may withdraw that consent at any time.
In particular, where we process your data on the basis of our legitimate interests, you have the right to object to that processing at any time.
To exercise any of these rights, email info@homeyourcrew.com. We respond within one month.
You also have the right to lodge a complaint with the Data Protection Commission, 21 Fitzwilliam Square South, Dublin 2, D02 RD28, Ireland (dataprotection.ie).

Automated decision-making
We make no automated decisions with legal or similarly significant effect. The anti-spam filter only decides whether a form submission looks automated; a rejected submission can always be made by phone or email instead.

Changes
If we change this notice, the new version is published here with an updated date. Material changes affecting how we use data already collected will be communicated to affected people directly where feasible.
